Managing bookings
You can create, view, and manage appointments directly from the calendar. This page covers creating a new booking, understanding the booking detail view, recording attendance, and handling payments for a booking.
Creating a booking
To create a booking, click any available slot on the calendar. A three-step Create Booking form will open. Walk through each step in order — you can go back at any point to change a previous step.
Select the service or services for this booking. The time and assigned staff member are shown under each added service. You can add multiple services to a single booking — each will be scheduled sequentially. Use the search box to find a service quickly if your list is long.
Search for an existing customer by name or email, or click + New customer to create one on the spot. You must assign a customer before the booking can be created.
Optionally add an address and answer any additional questions attached to the service. These fields are not required for a quick booking — you can skip straight to Create booking. If a form is attached to the service, its questions will appear here.
Clicking a booking
Click any appointment block on the calendar to open a quick summary popup. This shows the patient name, service, payment status, time, and location at a glance. From here you can mark attendance or open the full detail view.
The No show and Arrived buttons let you record attendance without opening the full detail view — useful when you're working quickly at the front desk. Clicking View opens the full booking detail modal.
The booking detail view
Clicking View on the popup opens the full booking detail modal. This is the central place for everything related to a specific appointment — the patient, services booked, payment status, any form submissions, and internal notes.
Booking actions
The Actions button in the booking detail header opens a dropdown with the following options.
Send reminder sends the patient a notification about their upcoming appointment. Mark as arrived and Mark as no show record attendance — the same as the buttons in the quick popup, just accessible from within the detail view. Cancel booking cancels the appointment and notifies the patient.
Managing payments
The Manage payments button in the Payment section opens the payments modal for this booking. It shows the service cost, how much has been paid, and the outstanding balance. If no payment has been recorded yet, you can either send the customer a payment link or record a payment manually.
A payment link generates a unique URL that the customer can use to pay online. You can copy the link to share it yourself or click Email to customer to send it directly. The link expires after 8 days. To record a payment taken outside of Priorly — such as cash, card, or bank transfer — use Record payment, enter the amount, and select the payment method.
